Office Support Specialist

Requirements:

  • Professional experience of more than 3 years in office management and administration, demonstrating exceptional skills in organization and administrative task management.
  • Bachelor’s degree in Business Administration, Industrial Engineering, or related fields. Additional education or relevant certifications will be considered a plus.
  • Minimum conversational level of English (B2), capable of maintaining fluent conversations and handling English documentation.
  • Over 2 years of experience in managing administrative processes, including handling inputs and outputs of documents, supplies, and other office resources.
  • Proven experience in handling and managing suppliers, including negotiation, contracting, and maintaining effective relationships.
  • Strong organizational skills, with the ability to coordinate and prioritize multiple tasks simultaneously, ensuring efficiency and attention to detail.
  • Excellent communication skills, both oral and written, to interact effectively with internal and external teams.
  • Familiarity with office management tools and software, such as Microsoft Office suites and enterprise resource planning (ERP) systems.

Responsibilities:

  • Coordinate the procurement process for equipment and furniture, from vendor identification to contract signing and invoice management.
  • Manage and administer the allocated office budget, ensuring timely payments in accordance with established financial policies.
  • Maintain communication and manage relationships with WeWork for contract renewals, access management, and issuance of new access cards.
  • Provide active support in organizing local events, ensuring efficient execution and satisfaction for all participants.
  • Oversee the procurement process for merchandise and other office supplies, ensuring their availability cost-effectively.
  • Perform other responsibilities as assigned by the project leader.
