Travel Management Specialist

You will work closely with employees who need to travel (including employees in Ukraine, the USA, and Colombia) and will organize those trips.


  • At least 1+ years of administrative office experience including work experience in tourism (international tourism, visa department).
  • Experience in IT sphere would be a plus.
  • Experience with online booking systems (, Airbnb, Priceline, and other online resources) and direct reservations.
  • Ability to multitask and manage priorities.
  • English intermediate+ both spoken and written.
  • Ability to interact effectively with the office team, personnel, and management.
  • Attentiveness and carefulness while working with documents.
  • Well-organized and reliable.


  • Prepare local and international travel arrangements for employees, including airfare, hotel, insurance, and car rentals based on the organization’s travel policy, and ensure proper management/client approvals are obtained.
  • Calculate the travel budget for trips within Ukraine and abroad.
  • Assist employees during business trips (in case of problems or questions).
  • Guide employees/customers through travel requirements.
  • Establish and maintain contact with travel service providers (airlines, hotels, and other travel providers) to support corporate programs, make changes to reservations, and resolve complex situations related to business trips and other requests from employees.
  • Arrange all payments related to travel manager activity (expenses from the TM budget within Ukraine and expenses from the corporate card).
  • Record costs of trips in Jira.
  • Process business visas for employees. Prepare visa application documents and coordinate visa issuance procedures.
  • Organize corporate trips and team buildings (accommodation, tickets, insurance, coworking space, etc.).
  • Different administrative tasks are possible in the periods when the travel management workload is low.
